Our client is creating a new Safeguarding and Welfare Unit, due to launch in spring 2024. The

Unit has responsibility for Safeguarding, Prevent, management of the Report and Support system,

oversight of Sexual Violence and Misconduct cases and procedures, leadership of the Risk

Assessment Panel procedure and responding to critical incidents.

The Safeguarding and Welfare Officer will play an important role in the team to support the delivery of key

  • Respond to email and telephone enquiries, and manage a caseload, referring staff and students to relevant processes and policies within the Safeguarding Unit and across the business.
  • Triage emails and cases coming into the team, using labelling systems to flag information
  • Create and maintain a suite of email templates for use by the team
  • Create and update process documentation as required
  • Log information onto relevant spreadsheets and our records system
  • Prepare agendas, organise meetings, and take minutes as required.
  • Organise and prepare data for Freedom of Information requests and reports
  • Create and maintain information relating to the team
  • Provide support for complex cases and events as directed by the Welfare Managers
  • Liaise with other departments to ensure support, in particular through the Student Mental Health, Counselling and Therapies Service, Residence Life, and Dyslexia and Disability Support Services.
  • Ensure accurate record keeping and the correct and appropriate storage of information. Support the team with a cleanse of files and data.
  • Provide general administration support to the team, reviewing processes to improve efficiencies
  • A flexible approach to duties is required as the job may change over time to reflect the changing needs of the team.

We would be looking for colleagues with:

  • A high level of professional administration
  • An ability to work with difficult topics and sensitive information, with professionalism, resilience and tact
  • An ability to work in a fact-paced team in a time of change
  • Experience of preparing agendas and minutes
  • Good customer service skills, experience of triaging information, and an ability to discuss challenging topics and information with students and staff
  • An understanding of Higher Education and the challenges faced would be preferential
  • Good understanding of data protection and record keeping
