Our client are hiring for a School Administration Manager to joint their team, which will involve working term time only, based in a School. Our client are seeking to appoint someone who has relevent School Office / Admin management experience or someone with Operational experience in a CAMHS (Child and Adolescent Mental Health Services) or similar service.

Duration: Expected to be for 3 to 4 months and maybe longer while the client recruits on a permanent basis

Pay Rates:

£19.00 to £22.50 paye per hour

£21.00 to £25.00 paye including holiday

£24.00 to £28.00 umbrella per hour depending on skill and experience

Parking:

Parking is available about 5-10 mins walk up from the working location. There is no fee, but the client cannot guarantee parking will be available.

Working Days and Hours: Monday to Friday 8am to 4pm, 37.5 hours a week

Office Management

  • Responsible for the provision of a high quality, cost effective and efficient administration across the service and contribute to/or lead on activities/ projects. 
  • To provide and oversee a high quality, efficient, and effective administration service to the complex multi-disciplinary team.
  • Direct line management responsibility for the administration team and management of staff performance and disciplinary issues within the administrative team 
  • Direct line management responsibility for the school Kitchen Assistant ensuring all lunchtime duties and cleaning requirements are coordinated effectively
  • Plan, organise and implement quality improvement initiatives using appropriate tools to assess impact
  • Liaise with appropriate persons/authorities to ensure the carrying out of statutory requirements, including production of data, reporting, and ordering for the Trust and School (e.g. Ofsted, CAMHS, SATS, Pupil Level Annual School Census,
  • etc.)
  • Manage time allocation, between clinical and educational tasks. 
  • Build effective networks with other departments, working in collaboration to support and facilitate patient experience.
  • Communicate with patients, referrers and external agencies regarding complaints, in a sensitive manner, in liaison with the Head of Service.
  • Maintain attention to detail, sustain concentration and objectively analyse data despite frequent disruptions and multiple conflicting demands in the workplace.

Clinical and School Administration 

Provide and co-ordinate administrative support for professionals/ review meetings, clinical reports and assessments, etc.

Ensuring preparation of necessary documentation for clinical meetings and minute taking as required. 

Oversee that patient records are appropriately filed and kept up to date. 

Ensuring data quality, notifying clinicians and administrators of errors and inconsistencies and supporting them to ensure corrections are made

Provide administrative support for clinical reviews, GP letters, network liaison, initial assessment and discharge reports.

Assist (in partnership with Lead Nurse) the coordination of school nurse appointments and relevant correspondence.

Support and direct office admin assistant in maintaining day-to-day duties such as; diary management, pupil correspondence, liaison with local authorities, room bookings, ordering stock, inventories, post, reporting repairs, school catering etc.

Co-ordinate and arrange pupil transport services and timetables with parent/carers, transport providers, local authorities and professionals ensuring any changes are communicated to all concerned in a timely manner.

Assist the SLT in all administrative duties around school and term timetabling, inset days, target setting meetings.

Assist the education team in setting up off-site curriculum activities/visits, sourcing transport where necessary.

Assist the education team with resource orders as required and setting up of educational subscriptions/accounts.

Coordinate and manage (alongside the administration assistant) all education based administration requests such as; ICPs, EHCPs, PHP’s, PEP, Annual Education Reports and Annual review documentation – in liaison with the class teacher and case coordinator. 

Organise the statutory educational aspects of a pupils on home education/exclusion (e.g. exclusion letters, sanctions book and post school work to pupil as directed by the class teacher)

Lead on and coordinate the use of MS office packages and other communication applications for all correspondence such as Parent Mail/Egress 

HR

To lead on all aspects of recruitment of all new staff this includes;

Agency, bank, honorary, volunteers, educational, administrative and clerical staff.

Manage and coordinate advertising of vacancies via Trust and external agency platforms for educational and clinical staff (e.g. TES – Times Educational Supplement/ TRAC/NHS Jobs)

Manage all aspects of the trust recruiting process including the submission of vacancies on trust platforms (TRAC), supporting recruiting managers with shortlisting candidates and submission of interview details for candidates

Responsible for the coordination agency staff, liaising with the agency to ensure all necessary documents are received in compliance with Trust/Ofsted procedures (DBS checks/qualifications/references etc.)

Responsible for all staff sickness absence monitoring including sickness returns for the School and Trust, return to work interviews following sickness absence and referrals to occupational health when required

Manage and approve agency staff and bank-staff time sheets (weekly staff, bank/agency workers etc.) 

Responsible for the creation and maintenance of all individual staff files ( in accordance with the Trust’s recruitment policy and procedure in addition to statutory  DFE/Ofsted requirements)

Supporting the SLT to identify staff development needs ensuring that training requirements are closely monitored in order to meet external regulatory requirements (NHS/Education requirements)
