Role and Responsibilities:

In this front-line role, the Programme Officer provides exceptional support & guidance to Learners on the admissions requirements for Tes Institute’s programmes. (Subject Knowledge Enhancement, School Direct, iPGCE, Straight to Teaching, Assessment Only, Apprenticeships), as well as those required to qualify for QTS Assessment. This role will support the apprenticeship programme and will be responsible for collecting, processing, and maintaining Learner documents and records, both for Tes and as mandated by the Department for Education, from beginning to completion, communicating with employer partners (schools) and Learners, while also ensuring Learners questions and concerns are addressed in a clear and professional manner. 

Basic scope and primary objectives:

• Process applications and compliance for the apprenticeship programme

• Create and maintain Learner Apprenticeship records, ensuring they are kept up to date and accurate on PICS, the apprenticeship management system.

• Liaise with the incoming Learners (and, where necessary, their schools & Pathway Tutors) in collecting the information necessary background and compliance information to process applications for the associated programmes.

• Provide on-going support, by phone and email, to incoming Learners on the application process, answering questions and escalating to either the Head of Operations or Programme Directors when necessary.

• Check Learner files to ensure they are fully prepared for review by the Programme Directors.

• Ensure incoming Learner records are kept up-to-date and accurate at all times on Tes Institute’s systems.

• Keep regular & frequent contact with Learners throughout the duration of their studies to ensure that all required work and documentation is completed and given final review in time for QTS Assessment on our QTS route programmes

• Process Learner records for course starts, programme changes (deferrals, withdrawals, extensions) and course completion, which includes registering and maintaining records with the Department of Education and other appropriate bodies.

• Respond promptly and accurately to telephone and email enquiries in accordance with good customer care principles.

• Provide support to Learners on the required preparations for the start of course - ensuring all Learners are properly onboarded on time, as well as those for course completion - ensuring their documents and material are in order for QTS for our QTS route programmes.

• Produce regular reports on Learners’ statuses as necessary for relevant team members (eg. Programme & Admissions Manager, Programme Directors, Digital Learning team).

• Provide support for ESFA audits and inspections, as and when required

Essential criteria:

• Experience of administering apprenticeships and experience of the PICS system 

• Experience of ESFA requirements reporting and audits  

• Proficient in the use of Microsoft Office tools, including Word and Excel 

• Excellent written and verbal communications skills 

• Excellent time management skills 

• Communicates clearly and confidently both verbally and in writing 

• Strong attention to detail particularly with regards to data entry and checking documentation 

• Ability to perform outgoing calls and email follow-ups in a professional, positive, and prompt manner 

• Ability to work flexibly, which may include weeknights, weekends, and holidays during peak times 

Desirable criteria:

• Experience or knowledge of working in education. 

• Educated to a Degree level. 

• Experience working in a student support role (ideally in a higher or further education environment). 

• Familiarity and understanding of QTS requirements and OFSTED regulations desirable. (Note: Tes will provide training, where necessary.) 

• Desired proficiency in Salesforce, Mailchimp, Freshdesk, Formsite, and Microsoft Office.
